At Pine & Palm Productions LLC, we uphold a commitment to high-quality standards in our work. As our business expands, we consistently seek new methods to streamline the process of acquiring professional digital media. Our established terms and policies serve as guidelines, and any aspect not explicitly covered will be promptly addressed by our dedicated team.

General Policies

All appointments scheduled with Pine & Palm Productions are on a first-come-first-serve basis based on when your booking fee is received. You must receive a confirmation email from Pine & Palm Productions specifying date and time of your session before any booking is considered finalized.

Any discussion or planning prior to sending a security deposit will be deemed as tentative until the deposit has been paid and the confirmation email received by the client.

As a portrait client of Pine & Palm Productions LLC you understand and willingly accept to the use of all images taken during your session for Pine & Palm Productions’ marketing and social media purposes. Pine & Palm Productions LLC will not sell or contract the use of your images to any third parties without the explicit consent of the client.

If you have any concerns or requests pertaining to our photo policy, please feel free to voice your concern in your consultation emails. We will be happy to work with you and adjust our use of your specific images to a more comfortable degree.

Image Printing Rights

Completed images are delivered at its highest resolution and already prepared to upload to any third party printer for the best quality printing. Images must best downloaded directly from the Google Drive file for the quality of the prints to come out to standard. “Copying” your image will compress the file size which may effect the quality of image printed.

Pine & Palm Productions guarantees the delivery of the proper digital files for printing and will not hold responsibility for third-party prints that are unsatisfactory to clients.

All of our standard Portrait Package, Proposal, Elopement, and Wedding clients have free use and printing rights to every completed image delivered in their Google Drive file. We offer this as a complimentary addition to all of our portrait packages as our way of saying “thank you” for choosing Pine & Palm Productions.

Feel free to get prints done back home through your local Costco/Walmart, or you can choose to print directly through Pine & Palm Productions. We print through a third party fine art printer. All of the prints are shipped to your doorstep in strong, protective, wooden cases designed for transporting artwork. You can rest assured that any print ordered through Pine & Palm will be delivered free of defects and to the highest quality possible.

Weather

Maui’s weather is constantly changing and with that said, weather is the most difficult and uncontrollable variable for us to work with. If your shoot has to be canceled due to inclement weather conditions, rescheduling is penalty free and subject to availability. If another time slot is not available during your travel dates the weather delay becomes a cancellation.

Weather cancellations are made as joint decisions between the client and Pine & Palm Productions. We do our absolute best to be flexible and adaptable to any and all situations. Complete cancellations due to weather are EXTREMELY rare.

Payments

At Pine & Palm Productions, we do our best to make payments as easy as possible for clients visiting from all over the world.

We accept:

VISA, Mastercard, Discover, JCB, Amex, Google Pay or Apple Pay. Cash is accepted but discouraged as we work on public beaches and there is a high-risk factor with the amount of money being handled.

Booking Fees are collected online after we have locked down a date and time for a reservation.

The remaining balance will be collected on-site after the images have been taken. We have mobile readers to take card, tap or chip payments.

Pine & Palm Productions discourages payment in full if clients are not residents of Maui. There are no refunds within 14 days of the scheduled session.

Fees

Booking Fee: All packages require a $50 (or 25% down for services priced over $1,000) deposit to secure your appointment with Pine & Palm Productions. Scheduling will not be finalized until payment is received. The value of the booking fee applies to package/service rates leaving you a balance due.

Special Permits: Any request to use a different public location, not on the state of Hawai’i’s DLNR Open & Accessible website, will incur a $25 fee. This fee covers the additional permitting needed to perform commercial photography or videography.

Holiday Rates: Appointments scheduled on any major holiday will be subject to an additional $100 Holiday Fee.

Holidays include: New Year’s Day, Valentine’s Day, Easter Sunday, 4th of July, Halloween, Thanksgiving, Christmas Eve, Christmas Day, and New Year’s Eve.

Sales Tax: All sales are subject to sales tax in addition to the rate of the service/product purchased. Sales tax are set to charge based on the location of the client at the time of purchase.

Interisland Travel

Bookings for an island other than Maui are subjected to this additional charge based on location of the photoshoot.
$300- Kona (ITO) & O’ahu (HNL)
$375- Kaua’i (LIH) & Hilo (ITO)
This flat fee is in addition to the Package rate selected by the client. When reserving an off-island session, both Travel and Booking Fees will be collected to complete the reservation.

This fee will also cover a second session based on our availability should the weather not cooperate for the reservation time and date. There are no additional fees for photographers travel accommodations; the remaining balance for any booking will be collected after our services have been rendered.

Interisland Travel Fees are refundable up to 30 days before the reservation time and date. Cancellations become nonrefundable within 30 days of the booking date as the accommodations and permitting for the photographer and photoshoot will be finalized and purchased.

Travel fees can also be a split fee between multiple clients and not per booking. Inquire within.

Cancellations & Rescheduling

ALL cancellations and scheduling changes must be made at least 15 days in advance to avoid any schedule conflicts or being charged your deposit.

All cancellations made within 14 days of their scheduled appointment will result in the forfeiture of the session deposit. No additional fees or charges will be applied to late cancellations of portrait sessions.

Locations

Mini Sessions: All Mini Sessions have limited locations based on where the accommodations of the clients are. Travel to locations on Maui County’s DLNR website are included in our rates.

Premium Locations: Any location not on the DLNR O/A website are considered a “premium location” and will require and additional $25 for processing the permits needed.

Locations used for photo session are approved by the State of Hawai’i Film Department and the Department of Land and Natural Resources. Any location requested outside of the list available must be pre-approved by the owner to use for commercial purposes.

Ka’anapali Beach- Though we agree this is one of Maui’s most iconic beaches, this location is covered under the Department of Boating and Ocean Activities. Commercial photography is not allowed on this shoreline and usage of this area could result in a fee up to $10,000. (Both sides of Black Rock.)

Basic & Advance Editing

All Portrait Packages come with basic editing done to the images to adjust shadows, lighting, colors, removal of people in the water (excluding surfers) and light skin softening.

Advanced edits are requests made by the client(s) in the comment section during the proofing process.

Advanced edits are subject to longer editing times extending the average 10-14 day delivery of final images. Any additional time needed by our editor will be communicated to the client when confirming the final images to edit.

  • Pine & Palm Productions is a proud supporter of America’s armed forces. All active duty or retired service men and women will receive a 15% discount on all regular priced services and prints, with valid identification. Please mention your status during your pre-shoot consultation period and we’ll be sure to add your discount to our services. Pine & Palm productions wants to say “thank you” to all of our service men and women who have risked their lives for our freedoms.

  • As small business owners, we know just how essential local commerce is to our company and the community we are striving to create at Pine & Palm Productions. That being said, we offer 10% Kama‘aina discount to every member of our local community with a valid Hawaii state drivers license or identification. Please mention your residency prior to your session date to receive your Kama‘aina benefit.

  • As a way for us to say “mahalo nui” for your continuous support,

    ALL returning clients will receive a 10% off any Portrait Package.

    The Booking Fee will be set at $50 and the discount for the package will reflect in the remaining balance.
